How do shift swaps work?

Shift Swaps let staff request to swap shifts with each other. The process has three steps to ensure everyone agrees.

The swap process

  1. Staff A requests — Opens the Swaps tab, selects their shift, picks a colleague, and submits.
  2. Staff B accepts or declines — Sees the request in their Swaps tab and responds.
  3. Admin approves or rejects — Sees the agreed swap in Roster → Swaps and confirms.

What happens on approval

The roster updates automatically — the two staff members' shifts are swapped. No manual editing needed.

Rules

  • Only future shifts can be swapped (not past).
  • Staff can only swap their own shifts.
  • Both staff must agree before admin sees it.
  • Admin has final say — can reject even if both staff agreed.
  • Either staff can cancel a pending request at any time.
