Summary
When a staff member forgets to clock out, or there's a dispute about hours worked, you need a clear communication trail. NestedClock's Staff Messaging system gives staff and managers a built-in way to resolve time-related issues without emails, texts, or sticky notes.
How It Works
The messaging system is tightly integrated with time tracking:
- Missed clock-out detected: When the system detects a staff member didn't clock out, they're prompted to submit an explanation
- Staff submits explanation: "I forgot to clock out — I left at 5pm" with the date and details
- Admin reviews: Managers see all pending messages in the Messages tab and can resolve them
- Resolution tracked: Every message has a status — pending, resolved, or flagged
Why Built-In Messaging Matters
- Paper trail: Every explanation and resolution is recorded — no more "he said, she said"
- Faster resolution: Managers see all pending issues in one place instead of chasing emails
- Staff accountability: Staff know their explanations are on record
- Payroll accuracy: Resolve time disputes before payroll runs, not after
What Staff See
On their dashboard, staff can see:
- Any days flagged as missed clock-outs
- A form to submit their explanation
- Status of their submitted explanations (pending/resolved)
What Managers See
In the admin Messages tab, managers get:
- All pending staff messages across all locations
- The staff member's name, date, and explanation
- One-click resolve button
- Full message history with timestamps
Beyond Missed Clock-Outs
While the messaging system was built for missed clock-out explanations, it's useful for any time-related communication: shift swap requests, availability changes, or general notes to management. It keeps everything in one place, tied to the staff member's record.
