Summary
No more "I didn't know I was working today." With NestedClock's new Roster Email Subscription, staff can opt in to receive their weekly roster directly in their inbox — and managers can send it with one click.
The Problem We Solved
Every manager knows the pain:
- Staff forget to check the roster
- Screenshots get lost in group chats
- Someone always claims they "didn't see it"
- Printing rosters wastes paper and time
Roster Email Subscription eliminates all of this. Staff who want their roster by email can subscribe, verify their email, and start receiving beautifully formatted schedules.
How Staff Subscribe
The process is simple and staff-driven:
- Log in to the Staff Portal: Staff tap "Staff Login" on the kiosk and enter their PIN
- Tap "Roster Email": A button next to "Contact Manager" on their dashboard
- Enter their email: Type in their personal or work email address
- Verify: Click the verification link sent to their inbox
- Done: They're subscribed and ready to receive rosters
An info box explains the feature clearly: "If you wish to receive your roster by email, enter your email below and verify it. Your manager can then send you your scheduled shifts each week."
How Managers Send Rosters
The admin side is just as easy:
- Go to the Roster page: Navigate to the Roster section in admin
- Switch to "Send Roster" tab: Two tabs — Roster (manage shifts) and Send Roster (email them)
- Select staff: Check individual names or hit "Select All"
- Review and confirm: A confirmation dialog shows exactly who will receive the email
- Send: One click and each person gets their own personalised roster
Privacy by Design
This was a non-negotiable for us:
- Each person only sees their own shifts: Nobody receives anyone else's schedule
- Staff opt in voluntarily: Managers can't add emails — staff subscribe themselves
- Email verification required: Prevents typos and ensures the right person receives the roster
- Unsubscribe anytime: Staff can remove their subscription whenever they want
What the Email Looks Like
Staff receive a professionally designed email with:
- Branded header: NestedClock gradient header with the week range and shop name
- Clean roster table: Day, date, and shift times in an easy-to-read format
- Personal greeting: Addressed to the staff member by name
- Mobile-friendly: Looks great on phones, tablets, and desktops
Smart Features for Managers
See Who's Subscribed
The Send Roster tab shows all verified subscribers with their email addresses and how many shifts they have that week.
See Who's Not Subscribed
A separate section lists staff who haven't subscribed yet, so you know who might need a reminder to sign up.
Skip Empty Rosters
If a subscribed staff member has no shifts that week, they're automatically skipped — no confusing empty emails.
Send Results
After sending, you see exactly how many emails were sent and how many were skipped, with clear reasons.
Why Not Just Use WhatsApp or a Group Chat?
Group chats are noisy. Important messages get buried. And sharing a full roster means everyone sees everyone else's hours. With NestedClock's roster emails:
- Each person gets only their shifts
- It arrives in their inbox — not buried in a chat
- Professional formatting, not a blurry screenshot
- Searchable — staff can find it weeks later
Getting Started
There's nothing to set up on the admin side. The feature is ready to use:
- Tell your staff: Let them know they can subscribe via the Staff Portal
- Staff subscribe and verify: They handle it themselves
- You send: When the roster is ready, go to Roster → Send Roster tab and send it out
It's that simple. No configuration, no setup, no extra cost.
Built on AWS
Roster emails are powered by Amazon SES (Simple Email Service), the same infrastructure used by companies like Netflix and Reddit. Your roster emails are delivered reliably and quickly, every time.
