Summary
Not every person who manages staff should have access to billing, plan settings, and system configuration. That's why we built the Manager role — full operational access without the keys to the kingdom.
The Problem
Before the Manager role, business owners had two options:
- Give trusted staff full admin access — including billing, settings, and the ability to change plans
- Do everything themselves — rosters, leave approvals, monitoring, messages
Neither is ideal. Option 1 is a security risk. Option 2 doesn't scale.
What Managers Can Do
- Staff management — add, edit, and remove staff members
- Shop management — view and manage shop details and assignments
- Roster management — create, edit, and delete shifts across all shops
- Leave management — approve or reject leave requests
- Live monitoring — see who's clocked in, on break, or late in real-time
- Timesheet review — review and export timesheets
- Staff messaging — communicate with staff through the built-in system
- AI features — use the AI Assistant and Agentic AI (Business plan)
- Availability — view and manage staff availability
- Notifications — receive alerts for missed clock-outs, pending leave, and messages
What Managers Cannot Do
- Settings — no access to system settings, billing, or plan management
- Plan changes — cannot upgrade, downgrade, or cancel the subscription
- Billing — cannot view or modify payment methods
- Tenant configuration — cannot change business-level settings
The Settings page is completely hidden from the manager's navigation — it's not just disabled, it's not rendered.
How to Set It Up
- Go to Staff in your admin dashboard
- Click Add Staff or edit an existing staff member
- Set the Role to Manager
- The staff member will receive login credentials (email/password)
- When they log in, they'll see the full admin dashboard minus Settings
Security
The Manager role is enforced at every layer of the application — identity, API, and user interface. A manager cannot access restricted endpoints even by manipulating the URL or API calls directly. The separation is architectural, not cosmetic.
Use Cases
- Shift supervisors who manage daily operations but shouldn't touch billing
- Store managers in multi-location businesses who handle their own rosters
- Operations staff who need to approve leave and monitor attendance
- Business partners who help run the business but don't manage the subscription
The Manager role is available on all paid plans. Add as many managers as your plan allows — they count toward your staff limit just like any other team member.
