NestedClock's AI Admin Assistant lets Business plan admins ask plain-English questions about their business and get instant, data-driven answers — powered entirely by your own attendance data.
What Can You Ask?
The AI Assistant understands operational questions about your staff, shifts, rosters, and pay. Here are some examples:
- "Who is working today?" — See who's currently clocked in across all locations.
- "Who was late this week?" — Get a list of staff who clocked in after their rostered start time, with exact minutes late.
- "Who forgot to clock out?" — Find shifts with missing clock-outs that need attention.
- "How much should I pay James this week?" — Get an estimated pay summary with hours worked, breaks, and gross pay calculated from your data.
- "Show unusual attendance issues" — Surface anomalies like long breaks, overtime, late starts, and missing clock-outs in one view.
- "When did Sarah work last week?" — See a specific staff member's shift history with hours and break breakdowns.
- "Compare roster vs actual for this week" — See who showed up on time, who was late, and who didn't show at all.
How It Works
The AI Assistant isn't guessing. Here's what happens behind the scenes when you ask a question:
- Your question is analysed — the system determines what data you need (shifts, rosters, pay rates, etc.).
- Only relevant data is retrieved — targeted queries pull just the records needed, scoped to your business only.
- Calculations happen server-side — hours, breaks, lateness, overtime, and estimated pay are calculated deterministically by the backend. The AI never invents numbers.
- The AI explains the results — structured data is sent to the model, which explains it clearly in plain English with tables, bullet points, and date ranges.
Built for Trust, Not Guesswork
This is a critical design decision: the AI explains pre-calculated results — it doesn't calculate them itself.
When you ask "How much should I pay James?", the backend calculates total hours, break deductions, and gross pay using your actual shift data and pay rates. The AI then explains that calculation clearly, noting any missing data or incomplete shifts.
Pay figures are always labelled as estimates unless you've finalised payroll. The assistant will never provide tax advice, legal guidance, or official payroll figures.
Date & Timezone Awareness
The assistant understands natural date references:
- "today" — uses your shop's timezone, not UTC
- "this week" — respects your configured week start day (Monday, Sunday, etc.)
- "last week" — the full previous week based on your settings
- "this month" — from the 1st to today
Every response shows the exact date range used, so you always know what period the data covers.
Security & Privacy
The AI Assistant is built with strict security boundaries:
- Tenant isolation — it can only see your business data. No other tenant's information is ever accessible.
- Admin-only access — staff and kiosk users cannot access the assistant.
- No data modification — the assistant is read-only. It cannot change rosters, approve timesheets, or modify any records.
- Prompt injection protection — the system is designed to ignore attempts to override its instructions or extract internal information.
- Minimal data exposure — only the data needed to answer your question is retrieved. No bulk database dumps are sent to the AI model.
Business Plan Only
The AI Admin Assistant is available exclusively on the Business plan ($119/month). It must also be enabled by the platform administrator for your account.
This ensures we can manage costs, monitor usage, and roll out the feature safely. Business plan tenants get:
- AI-powered Q&A about attendance, pay, rosters, and anomalies
- Configurable AI model selection (Nova Lite, Nova Pro, or Nova Micro)
- Monthly usage tracking (requests and tokens)
- Audit logging of all AI interactions
What's Next
This is version one — read-only Q&A. We're designing the architecture to support future capabilities like:
- "Add James to the roster on Monday 9am–5pm"
- "Send the roster to all staff"
- "Create a clock-out correction for Sarah at 5:30pm"
These write actions will require explicit confirmation steps, permission checks, and full audit trails before they go live.
