Here's every action the Agent can perform today.
Roster Management
- "Add James to Monday 9-5 at The Barber Shop" — resolves the staff member, parses the date, finds the location, checks availability and conflicts, then shows a confirmation card with all the details
- "Remove Sarah's shift on Tuesday" — finds the shift, shows you the details, and deletes it after you confirm
- "Copy last week's roster to this week" — recreates an entire week's shifts in a single confirmation. It understands ranges like "last week", "this week" and "2 weeks ago", maps each shift to the matching day, and automatically skips anyone who is now on leave, marked unavailable, or has a clashing shift — telling you exactly who was skipped and why
Staff Management
- "Add a new staff member" — the Agent asks for name, location, and role. It suggests a random PIN, asks if they need dashboard login, checks your plan limits, and creates the staff record with properly encrypted credentials
- "Change James's role to manager" — updates name or role with confirmation
- "Deactivate Alex, he's left" — soft-deletes the staff member so they can't clock in, but preserves all their data
- "Reset Sarah's PIN" — suggests a new PIN, encrypts it properly, active immediately after confirmation
- "Assign James to Kippax Grocery" — adds a location to their assignment list
- "Remove James from Kippax" — removes a location (won't remove their last one)
- "Set James's rate to $28.50/hr" — updates their pay rate with an effective date and reason
- "Add a $50 meal allowance for Sarah this week" — adds a payroll adjustment (allowance, deduction, bonus, reimbursement or backpay), one-off or recurring
Time Tracking
- "Fix James's missed clock-out yesterday" — finds the entry with no clock-out, checks the roster for the expected end time, suggests it, and applies the fix after confirmation
- "James worked yesterday 9-5 but forgot to clock in" — creates a complete time entry when both clock-in and clock-out were missed
Leave Management
- "Approve Sarah's leave" — finds pending leave requests, shows the details, and approves with automatic unavailability creation and conflicting shift removal
- "Put in sick leave for James tomorrow" — creates a leave request on behalf of a staff member (status: pending, still needs approval)
Availability
- "Mark James as unavailable Friday" — creates an unavailability record and automatically removes any conflicting roster shifts
- "Remove James's unavailability on Friday" — makes them available for rostering again (won't remove leave-based unavailability — you'd need to reject the leave instead)
Messages
- "Resolve that message from James" — marks a staff message as resolved/dismissed
How It Works
- You describe what you want in plain English
- The Agent uses specialised tools to look up staff, locations, dates, and validate everything
- It shows you a confirmation card with all the details — staff name, location, date, times, warnings
- You click Confirm or Cancel
- Only after you confirm does anything change
Smart Behaviour
The Agent doesn't just execute blindly:
- If a name matches multiple staff, it shows a numbered list and asks which one
- If information is missing, it asks for it — never proceeds with incomplete data
- If a staff member is on leave, it tells you before you try to roster them
- If there's a conflicting shift, it warns you in the confirmation card
- When fixing clock-outs, it checks the roster first to suggest the right time
- When adding staff, it suggests a PIN, enforces a unique PIN across your team, and asks about role and login
- It knows today's date and your week-start day, so "this week", "last week" and "2 weeks ago" always resolve correctly
- It handles one request at a time — and even a bulk action like copying a roster is shown to you in full and created only after a single confirmation
Security
- Every action requires explicit confirmation — nothing happens until you click Confirm
- Confirmation tokens expire after 5 minutes and can only be used once
- Tokens are bound to your specific user and tenant — can't be reused by anyone else
- The Agent can't permanently delete staff (only deactivate, preserving records), and it can never touch billing, plan settings, or account details
- It can only ever create staff or manager accounts — never admin or owner accounts
- Sensitive details like PINs and passwords are encrypted the moment an action is prepared
- All actions are logged with a full audit trail
- 60 requests per week included (a request is one message to the Agent; confirming a prepared action is free), with a combined best-effort weekly cost safety guardrail
